Terms and Conditions

Organising an event requires a considerable amount of forward planning, time, risk and expense. Approximately 9 - 12 months prior to our events taking place, work begins and costs are incurred. These include administrative, insurance, advertising, marketing, equipment, website and staff costs. As an event draws nearer, we continue to incur costs, many in relation to the number of entrants in the event.
 
Conditions of Entry:
By entering the Erewash Junior Aquathlon, Novice Triathlon and Family Fun Run applicants agree to abide by our terms and conditions as listed below. The event organisers reserve the right to change the terms and conditions without notice.
 
Day Membership for Non-BTA Members
All entrants to British Triathlon registered events are required to be members of the Triathlon Federation which provides them with public liability insurance and personal accident cover whilst taking part in the event. Non Triathlon Federation members are asked to pay Day Membership to the Triathlon Federation to ensure this in place. All corporate team participants will be registered for day membership with the Triathlon Federation.
 
Any non triathlon members agree that their name and address be passed to the Triathlon Federation for the sole purpose of registering their Day Membership and providing insurance cover. Participants agree to abide by the conditions of membership and rules of British Triathlon details of which are published at www.britishtriathlon.org
 
Confirmation of Entry
Cashing of cheques confirms acceptance of postal entries. It is the entrant’s responsibility to inform Erewash Borough Council if any participant details are incorrect so they can be corrected prior to the event taking place. In 2010, we are unable to offer telephone or online payments due to technical issues, please accept our apologies and we hope this facility will be running for the 2011 event.
 
Team Entries
For the third time the triathlon will include Corporate Team entries. The team must comprise of three participants and they can be either: all male, all female or mixed. Only one entry fee is applicable for team entries (see entry form) and all teams must nominate a Team Captain and all correspondence will be mailed to the nominated captain. Please ensure that all members complete an entry form and all three are posted together.
 
Relay Team Entries
For the second time the triathlon will include Relay Teams. The team must comprise of three participants and they can be either: all male, all female or mixed. Only one entry fee is applicable for team entries (see entry form) and all teams must nominate a Team Captain and all correspondence will be mailed to the nominated captain. Please ensure that all members complete an entry form and all three are posted together.
 
Disabled Triathletes
The organisers may contact disabled triathletes to clearly identify what steps need to be taken to take part in the event. If in the organiser’s opinion the necessary adjustments cannot be accommodated this year we shall endeavour to make adjustments in next year’s event. All disabled triathletes must complete and return the ‘Statement of Declaration’ Form with their entry form.
 
Junior Aquathlon
This new event is aimed at people aged 8 to 14 years old. All participants in this event must obtain parental/guardian consent as indicated on the entry form as a condition of entry. Arm bands are not allowed in the swimming discipline as you must be competent and confident to swim the distances stated.
 
Concession Prices
To be eligible for a concession price please see the criteria listed in the Leisure Pass Concession document.
 
Competitor Withdrawal:
We endeavour to make sure we provide you with the event that you have entered. If for any reason we have to cancel an event, we will give you a full refund. As with other events (sports, cinema, theatre, concerts, etc), if after paying for them you have to withdraw, you will not receive a refund, regardless of the reason (injury, pregnancy, holiday, business, work, etc).
 
Transfer of Entry:
Under no circumstances are applicants permitted to transfer their entry to another individual. This is a health and safety concern as the event organisers will then be holding incorrect medical details of the participant and the potential for incorrect medical treatment be applied if required.
 
Race Information:
All information relating to Erewash Novice Triathlon will be published on www.erewashtriathlon.com . Any alterations to the course or event will also be published on the website as will individual start times.  All participants will be sent out to competitors’ packs by post approximately 1 week after the closing date. This pack will include the allocated registration time, start time and race number. It is the responsibility of all competitors to ensure they are aware of all information relating to the event.
 
Prizes:
Any individual or team that has won a prize must either:
·           Collect the prize at the presentation
·           Arrange for the prize to be collected within 1 calendar month of the event delivery
If the winner of a prize does not do one of the above, then that individual will forego the right to the prize and the prize will not be awarded to him / her.
 
Completion of Entry Form:
Please ensure you take the time to fill in the relevant sections of the entry form as clearly as possible.
 
Photography:
The organisers maintain the right to use images and photographs taken by their contracted photographers and employees at the event without informing of or recompense to event participants. These images can be used for promotional purposes as undertaken by the organisers, sponsors and partners, which will cover a range of possible uses including advertising press and media, printed information items, editorial coverage and any other promotion directly related to the organisers, sponsors or partners. Any photographs taken during the event will be available online after the event at www.erewashtriathlon.com .
 
Emergency Medical Treatment:
Participants give express permission to receive emergency medical treatment by the on site medical staff and/or qualified first aiders unless the organisers are informed in writing at the time of receiving the participants entry form.
 
Health of Participants
All participants by entering these events are aware of the risks involved and degree of fitness required to take part. The event organisers recommend that if any participant is concerned about their health that they seek professional medical advice before entering.
 
Results
Full results of the event will be available online at www.stuweb.co.uk after the event. Any queries regarding timings should be directed to this website and an online query completed.
 
Event Changes:
The organisers have the right to change any part of the event for the reason of health and safety or other factors without prior notice.
 
Right of Refusal of Entry:
The organisers maintain the right to refuse or revoke entry to any applicant, where they believe that accepting the entry could prejudice the event, Erewash Borough Council, Erewash Junior Aquathlon and Novice Triathlon sponsors, associates or staff. This right of refusal extends to include applications where acceptance is considered by the promoters to be likely to infringe upon the enjoyment of any persons connected with the event, including staff, marshals, volunteers & other competitors.
 
Evaluation of the Event:
To improve the event annually, all participants agree to an evaluation form being posted to their address (as indicated on the entry form) within 2 weeks of the event. All participants are requested to complete the form and return in the pre-paid envelope supplied.
 
Data Protection Act 1998
All personal information will be treated by the organiser as confidential and held in accordance with the Data Protection Act 1998. No personal information will be passed to third parties with the exception of the Triathlon Federation for participant day membership and insurance purposes only.
